Who we are

Stirling Node is a trading name of Oleh Bondarenko, sole trader, Stirling, United Kingdom. We provide AI Front Office, a WhatsApp enquiry assistant for estate and letting agencies. Contact: hello@stirlingnode.com.

If you message an estate or letting agency that uses AI Front Office

The agency decides why and how your enquiry is handled and is the controller of your data. We process it on the agency's behalf, under its instructions, to reply to your enquiry, ask relevant questions (for example about viewings or whether you have a property to sell) and pass a summary to the agency's team. A person at the agency confirms viewings and makes decisions. For questions about your data, contact the agency first; you can also contact us.

We process: your name and phone number, the messages you send and receive, and details you choose to share about the property you are interested in or your own property.

If you are an agency, a prospective customer or contact us

We are the controller. We use business contact details (name, role, work email, phone, agency name) from your enquiry, from our conversations, or from publicly available business sources such as your agency's website and Companies House. We use them to reply to you, to offer AI Front Office to agencies, to run demos and pilots, and to manage our customer relationship. Our lawful basis is legitimate interests and, where we have an agreement with you, the performance of that agreement.

If you do not want to hear from us again, reply "no thanks" to any email or write to hello@stirlingnode.com. We keep a suppression list so that we do not contact you again.

Website visitors

Our site does not use advertising cookies set by us. Advertising platforms such as Meta or OpenAI may record that you arrived from one of their ads, under their own privacy policies. Links that open WhatsApp may include a short pre-filled message that tells us where you found us.

Service providers we use

Twilio and Meta (WhatsApp messaging), Anthropic (AI language model processing of messages), Hetzner (server hosting), Cloudflare (network and email routing) and Zoho (business email). Some providers may process data outside the UK; where they do, we rely on the safeguards those providers offer under UK data protection law.

How long we keep data

Enquiry conversations are kept for as long as the agency's agreement with us requires and are deleted or returned at the end of that agreement unless the agency instructs otherwise. Prospect and customer contact records are kept while there is a business relationship or a reasonable prospect of one, and suppression records are kept so that we respect opt-outs.

Your rights

You can ask for access to, correction or deletion of your personal data, object to its use, or ask us to restrict it. Write to hello@stirlingnode.com. If you are not satisfied, you can complain to the Information Commissioner's Office (ico.org.uk).
